Our Role: When We Are a Controller and When We Are a Processor
Important
This Privacy Notice only covers personal data that CPS collects and controls itself — for example, data submitted through this website (such as enquiry forms, newsletter sign-ups or job applications) and data about our business contacts.
Separately, CPS provides clinical pharmacy and medicines-optimisation services to GP practices, Primary Care Networks (PCNs) and other healthcare organisations under contract. When we deliver those clinical services, for example remote clinical support, care planning, or medication reviews, we process patient data strictly on the documented instructions of, and on behalf of, the relevant GP practice or PCN. In that context, CPS acts only as a data processor. The GP practice or PCN remains the data controller and is responsible for that data.
If you are a patient and have a question, concern, or wish to exercise your data protection rights in relation to data processed by CPS as part of clinical services delivered to your GP practice, please contact your GP practice directly, as they are responsible for handling such requests as the data controller. This Notice does not describe how that patient data is processed; your GP practice’s own privacy notice will explain this.
The Personal Data We Collect
Depending on how you interact with our website, we may collect the following categories of personal data, always as data controller:

Enquiry and registration data: name, email address, telephone number, and postal address, collected when you fill in a form on our website (for example, a contact form or registration form).

Recruitment data: if you apply for a role with us via our website, we collect the information contained in your CV, application form and any references or supporting documents you provide, including professional qualifications and registration details.

Business contact data: if you contact us on behalf of a GP practice, PCN, commissioning body or other organisation (for example, to discuss our services), we collect your name, job title, organisation, and contact details.

Technical and usage data: an anonymised version of your Internet Protocol (IP) address, browser type and version, operating system, and information about your visit, including pages viewed, time and date of visit, and documents downloaded.
We do not knowingly collect any special category data (such as health data) through this website, and we ask that you do not include such information in any form or message you send us via the website.
How and Why We Use Your Personal Data
We only use your personal data where the law allows us to. The table below sets out our purposes for processing and the legal basis we rely on under Article 6 UK GDPR.
We do not carry out any automated decision-making or profiling using your personal data that produces legal effects concerning you, or which similarly significantly affects you.
Providing Your Data
Where we ask you to provide personal data to submit a job application, respond to a contractual enquiry, or access a particular service, providing that data is necessary for us to process your request; if you do not provide it, we may not be able to progress your application or respond to your enquiry. Provision of any other data on our website (such as for newsletter sign-up) is entirely optional.
